1. General Provisions
These General Terms and Conditions (GTC) of Camping Lodge Lausanne AG, operator of Camping Lausanne (hereinafter referred to as the Operator), apply to reservations of all accommodations and event venues, as well as all other services and deliveries provided by the Operator in this context (hereinafter referred to as the Contract).
In particular, they also apply to reservations made via an online booking tool.
These GTC form an integral part of every Contract. Any conflicting or deviating terms and conditions of a guest/organizer will only be recognized if agreed upon in writing prior to the conclusion of the Contract.
The Operator reserves the right to amend these GTC at any time.
2. Definitions
Groups: For the purposes of these Terms and Conditions, groups are defined as seminar, travel, or private groups with a minimum of 10 booked participants.
Written Confirmations: Written confirmations include emails and automatically generated responses from the operator's booking platform.
Properties: Properties include all rentable properties (rental accommodations, dormitories, rooms, etc.), pitches for tents, caravans, motorhomes, campers, etc., as well as reservable rooms for events.
Contracting Parties: These are the guest and the operator.
Event: Depending on the agreement, this includes room/property rentals, catering, technical equipment, staffing costs, and other services.
3. Contract Formation / Scope of Application
Booking by Telephone or Email
The contract for the rental of properties and the provision of other goods and services is only concluded once availability has been confirmed and the deposit, as per section 6, has been received by the operator by the due date. You will receive a written booking confirmation upon receipt of payment. If the deposit is not received, the operator may make the property available to others.
A reservation made on the day of arrival is binding upon acceptance by the operator.
Booking via Online Booking Portal
A reservation made via an online booking system only becomes final once availability has been confirmed and the deposit, which is due immediately, has been paid. Your credit card will be charged upon acceptance of the booking.
Contract amendments are only binding for the operator upon written confirmation. Unilateral changes or additions to the contract by the guest are invalid.
Subletting or further letting of the provided accommodations, as well as their use for purposes other than accommodation, requires the prior written consent of the operator.
Group reservations cannot be made online. These booking requests must be sent directly to the operator via email. Special cancellation policies may apply to groups (see sections 9 and 11).
If a third party has made the booking for the guest, that third party is jointly and severally liable to the operator, along with the guest, for all obligations arising from the contract.
4. Scope of Services
The scope of services under this agreement is determined by the guest's individually made and confirmed reservation. The guest is not entitled to a specific property. Requests will be accommodated as far as possible.
Information regarding minimum stay requirements can be found on the operator's website.
Should a property not be available despite a confirmed reservation with the operator, the operator must inform the guest promptly and immediately refund any deposit already paid by the guest. The guest has no further claims.
5. Period of Use
Unless otherwise agreed, the guest has the right to use the rented property as follows:
• Camping pitches from 3:00 p.m. on the agreed arrival day until 10:00 a.m. on the departure day
• Rental accommodations from 3:00 p.m. on the agreed arrival day until 10:00 a.m. on the departure day
If arriving after 8:00 p.m., the operator must be informed of the late arrival by the guest by telephone or in writing no later than 6:00 p.m. on the arrival day; otherwise, the operator may freely dispose of the property.
Occupancy of a property is considered use of the accommodation in any case.
In case of late return or vacating the accommodation, the guest will be charged 50% of the accommodation price (list price). Should the return/vacating occur after 2:00 p.m., the full accommodation price will be charged. This does not entitle the guest to continued use of the accommodation. The currently valid daily rates apply for the calculation.
Unless otherwise agreed (in writing), the guest has no right to extend their stay.
Young people (under 18 years of age) may only stay overnight at the campsite when accompanied by an adult supervisor. If the supervisor is not a parent or legal guardian, the operator must be presented with a written declaration of consent from the parent or legal guardian. If the supervisor and/or the written declaration of consent is missing, the operator is entitled to rent the accommodation to another party without any obligation to provide compensation.
6. Prices / Payment Obligations
All prices communicated by the operator are in Swiss Francs (CHF) and include VAT. However, they do not include applicable tourist taxes, visitor's taxes, or other charges, which will be billed separately.
The operator accepts only digital payment methods at all points of sale (reception, shop, restaurant, etc.). Cash is not accepted.
Group rates apply only with prior agreement and written confirmation from the operator. For groups of fewer than 10 people, the rates for individual travelers apply.
The prices confirmed by the operator are valid. The operator may change prices if the guest subsequently makes changes (properties/number of people/duration/services).
Any increase in statutory charges after the conclusion of the contract will be borne by the guest. Prices quoted in foreign currencies are indicative and will be converted at the current exchange rate. The operator may refuse to accept foreign currency without giving reasons.
The operator requires a deposit or credit card guarantee for each reservation. The deposit amount varies depending on the services, property, length of stay, and the booking date, and can be up to 100% of the total booking amount. Failure to pay the deposit or credit card guarantee on time will void the contract.
On the day of arrival, the total or remaining balance of the agreed booking amount is due upon check-in and must be paid by the guest using an accepted credit card.
The operator reserves the right to issue an invoice or interim invoice to the guest at any time for any additional services used.
The final invoice, issued no later than check-out on the departure day, includes any additional charges incurred due to extra services provided by the operator to the guest and/or accompanying persons/visitors. The final invoice is payable in cash or by an accepted credit card.
The right to set-off against claims by the operator is excluded.
7. Cancellation by the Operator
The operator may cancel the contract without penalty up to and including 10 days before the agreed arrival date of the guest. Furthermore, the operator is entitled to cancel the contract extraordinarily and with immediate effect at any time for objectively justified reasons by immediate unilateral written declaration.
Examples of objectively justified reasons include:
• Force majeure or other circumstances beyond the operator's control that objectively render the performance of the contract impossible;
• Properties booked or used under misleading or false pretenses, e.g., regarding the identity of the guest or the purpose of use or stay;
• The presence of minors without an adult supervisor as per section 5 above.
• The operator has reasonable grounds to believe that the use of the agreed services may disrupt the smooth operation of the business, the safety and peace of other guests, or the operator's reputation;
• The guest has become insolvent (bankruptcy or unsuccessful debt collection) or has ceased payments;
• The purpose or reason for the stay is unlawful.
If the operator cancels the booking for the aforementioned reasons, the guest is not entitled to compensation, and payment for the booked services remains due.
8. Reservation Cancellation / Cancellation Fees
Cancellations of reservations (including changes and rebookings) must be submitted to the operator in writing and require their written approval. Text messages of any kind (WhatsApp, social media, etc.) are not valid.
If an approved cancellation is not received, cancellation fees will apply. The date the written cancellation is received by the operator is decisive for calculating the cancellation fee. The operator will invoice the guest for the cancellation fees or charge them directly to the credit card used for the guarantee.
If the guest books their stay through a promotion and/or with special conditions, there is no entitlement to a refund of the deposit, regardless of when the cancellation occurs.
In the event of early departure, the operator is entitled to charge 100% of the booked services.
Cancellation Fees for Individual Reservations
• Up to and including 14 calendar days before the agreed arrival date, the guest may cancel the reservation free of charge. The deposit paid by the guest will be refunded by the operator within one week (5 business days).
• For cancellations between 13 and 7 calendar days before the agreed arrival date, the guest may cancel their reservation, but will forfeit the deposit paid to the operator.
• For cancellations between 6 calendar days and 24 hours before the agreed arrival date, the guest may cancel their reservation, but will forfeit the deposit paid to the operator. In addition, the guest will be invoiced or directly charged 50% of the total booking price to the credit card used for the deposit payment.
The 24-hour period begins at 4:00 PM on the arrival day.
For cancellations between 6 calendar days and 24 hours before the agreed arrival date, the guest may cancel their reservation, but will forfeit the deposit paid to the operator. • In the event of cancellation 24 hours before arrival or in the event of a no-show, 100% of the booked service is owed by the guest and will be invoiced to them or charged directly to the credit card used for the deposit during the reservation.
Cancellation Fees for Group Reservations
Unless otherwise specified in writing, the following cancellation fees apply if more than 10% of the booked services for a group reservation (see section 2) are cancelled.
• Generally, a deposit of 25% of the total booking price is due to the operator for group reservations.
• If the cancellation occurs up to and including 31 calendar days before the agreed arrival date, the deposit paid at the time of booking is forfeited to the operator.
• If the cancellation occurs between 14 and 30 calendar days before the agreed arrival date, an additional 25% of the total booking price (total 50%) will be invoiced or charged directly to the credit card used for the deposit at the time of booking.
• If the cancellation is made between 4 and 14 calendar days before the agreed arrival date, an additional 25% of the total booking price (75% total) will be charged or directly debited from the credit card used for the deposit at the time of booking.
• If the cancellation is made 3 calendar days prior to arrival, or in the case of a no-show, 100% of the total amount will be charged or directly debited from the credit card used for the deposit at the time of booking.
9. Stay / Keys / Internet / Smoking
The accommodation is reserved exclusively for the registered guest. Transferring the accommodation to a third party or allowing an additional person to use it requires the operator's permission.
The guest shall use the accommodation carefully during their stay and in accordance with the operator's general campsite rules. The general campsite rules can be viewed on the operator's website.
Keys, badges, etc., issued by the operator remain the property of the operator and grant 24-hour access to the campsite and the reserved accommodation. The loss of a key must be reported to reception immediately. A fee of CHF 500 will be charged to the guest for a lost key. Badges and magnetic cards are issued upon payment of a deposit. If badges and magnetic cards are not returned to the operator on-site by the departure date at the latest, the deposit will be forfeited.
The operator provides the guest with internet access via Wi-Fi (hotspot) within the limits of technical and operational possibilities. To access the operator's Wi-Fi, guests must obtain their personal login details at reception or register online. The operator does not guarantee a specific transmission speed or uninterrupted and stable connection. Streaming is not permitted. Guests use the Wi-Fi (hotspot) at their own risk and responsibility. Guests are responsible for adequate virus protection, data backup/encryption, etc. The operator accepts no liability for damages resulting from internet use (spam, viruses, internet outages), and guests are not entitled to a refund of any fees paid. Guests are responsible for the use of their login details and are liable for misuse and illegal activity while using the internet. The operator reserves the right to exclude any guest from the network.
Smoking is permitted only in designated outdoor areas on the entire premises. If the guest smokes in the rental accommodations or in enclosed, public structures of the campsite, a cleaning fee of CHF 250.- will be charged and can be billed to the offending guest or charged directly to the credit card used for the deposit during the reservation.
10. Additional Conditions for Groups
Groups arriving and/or departing together must notify the operator in writing 2 days prior to arrival. For group bookings, a single invoice will be issued to the organizer, who is liable for the entire amount. Individual invoices are not possible. The final number of participants in the group (including a list of names) must be communicated to the operator in writing no later than 2 calendar days prior to arrival.
11. Additional Conditions for Events
The guest is obligated to inform the operator of the binding number of participants for an event no later than 8 calendar days prior to the event date. If the number of participants communicated by the guest differs from the actual number of participants, the following applies:
• If the actual number of participants is lower than the stated number: Cancellations of up to 5% of the communicated participants are free of charge up to 3 days before the start of the event; thereafter, billing will be based on the previously communicated number of participants. If more than 5% are canceled, billing will be based on the previously communicated number of participants.
... • If the actual number of participants increases at a later date, billing will be based on the actual number of participants (subject to feasibility).
In the event of cancellation by the operator or a cancellation of the event by the guest, sections 7 and 8 (group reservations) apply accordingly.
If the guest holds a previously cancelled event with the operator within the same calendar year, to the originally agreed extent, 50% of the cancellation fees paid will be credited to them.
If the event is rescheduled without the operator's prior written consent (start or end times), the operator may additionally charge for personnel and equipment costs, unless the operator is responsible for the rescheduling.
If the operator procures technical and other equipment from third parties at the guest's request, they do so on the guest's behalf.
The guest is liable for the careful handling and proper return of the equipment. The guest indemnifies the operator against all third-party claims arising from the provision of this equipment.
If the event is rescheduled without the operator's prior written consent (start or end times), the operator may charge additional costs for personnel and equipment, unless the operator is responsible for the rescheduling. The use of a guest's own electrical equipment and devices using the operator's power supply requires the operator's prior written consent. Any malfunctions or damage to the operator's technical equipment caused by the use of such equipment and devices are the responsibility of the guest, unless the operator is at fault. The operator may charge a flat fee for the electricity costs incurred through the use of the electrical equipment and devices.
With the operator's consent, the guest is entitled to use their own telephone and/or data transmission equipment. The operator may charge connection and access fees for this.
Malfunctions of technical or other equipment provided by the operator will be rectified as quickly as possible upon notification by the guest. Insofar as the operator is not responsible for the malfunctions, these malfunctions will not reduce any claims for services or establish liability.
The guest is responsible for obtaining all necessary official permits for the event at their own expense. They are also responsible for complying with these permits and all other public regulations related to the event. Fines for violations of these permits are payable by the guest.
The guest is responsible for handling all formalities and invoicing related to musical performances and sound systems with the relevant institutions (e.g., SUISA).
The operator reserves the right to remove event participants from the premises after the expiration of any extension permit.
All food and beverages must be purchased exclusively from the operator. In exceptional cases, an alternative written agreement may be made. In such cases, the operator is entitled to charge a service fee or corkage fee.
Exhibits and other items, including personal belongings, brought onto the premises are at the guest's own risk. The operator assumes no responsibility for the safekeeping or security of such items. The operator accepts no liability for the loss, destruction, or damage of brought-on items, except in cases of gross negligence or willful misconduct on the part of the operator. Insurance for brought-on items is the responsibility of the guest.
Decorative materials brought onto the premises must comply with fire safety regulations. The operator is entitled to request official proof of compliance. Due to the potential for damage, the placement and installation of items must be agreed upon with the operator in advance. All brought-on exhibits and other items must be removed immediately after the event. The operator may remove and/or store any items left behind at the guest's expense.
Packaging material (cardboard, boxes, plastic, etc.) generated in connection with deliveries to the event by the guest or third parties must be disposed of by the guest. Should the guest leave packaging material on the campsite, the operator is entitled to dispose of it at the guest's expense.
12. Conduct, Use, and Liability
The operator excludes all liability to the guest, including for items brought onto the premises, to the extent permitted by law.
Upon arrival, the guest should inquire with the operator about the possibility of entrusting valuables, cash, or securities to the operator for safekeeping. If the operator offers safekeeping and the guest chooses not to, the operator's liability is excluded in its entirety.
If any damage is not reported to the operator immediately upon discovery, the guest's claims are forfeited.
The operator is not liable under any legal theory for services that it has merely arranged for the guest. The operator disclaims all liability for theft and damage to materials brought onto the premises by third parties.
The guest is liable to the operator for all damages and losses caused by the guest, their companions, assistants, or event participants, without the operator having to prove fault on the part of the guest.
The guest is responsible for the proper use and return of all technical equipment/facilities provided by the operator or procured on the operator's behalf through third parties, and is liable for any damage or loss. The guest is also liable for any services and expenses incurred by the operator with third parties.
If a third party (the person making the booking) makes the booking for the guest, they are jointly and severally liable to the operator with the guest for all obligations arising from the contract. Regardless of this, every person making the booking is obligated to forward all booking-related information, in particular these terms and conditions, to the guest.
13. Pets
Pets are permitted in certain properties with the prior consent of the operator and upon payment of an additional fee. It is the guest's responsibility to clarify this before booking.
The guest is obligated to properly restrain any pet brought along during their stay and not to leave it unattended or confined/leashed on the premises.
Pets are not permitted in sanitary facilities or other public areas (common room, lounge, kitchen, etc.).
14. Lost and Found
Lost and found items will be forwarded if ownership is clearly established and the owner's home/business address is known. The guest bears the costs and risk of forwarding the item. Lost and found items discovered on the operator's property that do not have clearly established ownership will be handed over by the operator to the local lost and found office.
15. Data Protection
The privacy and security of our guests are of utmost importance to us. We handle personal data (e.g., name, address, telephone number), as well as other sensitive information, with care and in compliance with the provisions of the Swiss Federal Act on Data Protection. Data transmission and storage are secure.
By making a reservation, you authorize us and our affiliated companies to store and use your personal data for the purposes of providing our services (administrative processing, statistical analysis, marketing, and the development of new products and services).
You may contact us at any time by email at privacy@camping-lodge.com to find out what personal data is stored in our files or to have such data deleted.
We reserve the right to take and use photographs of pitches and objects located on them for marketing purposes. Photographs of individuals are expressly prohibited.
16. Further Provisions
In the event of violations of these Terms and Conditions, the operator reserves the right to issue a warning to the guest and, if necessary, to remove them from the premises.
Should any provision of these Terms and Conditions be invalid, this shall not affect the validity of the remaining provisions. In such a case, the invalid provision shall be replaced by a valid provision that most closely approximates its intended meaning.
If the guest requests services that are not provided by the operator, the operator acts solely as an intermediary.
Every reservation made implies the express and full acceptance of the operator's Terms and Conditions.
17. Applicable Law/Jurisdiction
Swiss law shall apply exclusively to all contractual, reservation, and any supplementary agreements and general terms and conditions. The place of performance and payment is the operator's registered office.
The place of jurisdiction for any disputes arising from this contract shall be the operator's registered office, unless another mandatory place of jurisdiction exists by law.
18. Validity
The original version of these terms and conditions is written in German. In case of discrepancies between the different language versions of these terms and conditions, the German version shall prevail.
